Why collect rent online
Online rent is easier for tenants, who can pay from their phone, and for you: no checks to deposit, no cash to count, and a record of every payment. When autopay is on, most rent arrives on time without a reminder.
The main ways tenants can pay
- Bank transfer (ACH): money moves from the tenant's bank account to yours. Usually the cheapest option, and it takes a few business days.
- Debit or credit card: instant for the tenant and convenient, but card processing costs more. Decide in advance who pays that fee, and check your local rules on passing fees to tenants.
- Payment apps between friends (Zelle, Venmo, Cash App): fast, but personal accounts are not built for rent. You get weak records and little protection if a payment is disputed.
How to set it up
- Choose a rent collection tool that pays into your own bank account and keeps a ledger for each tenant.
- Write the payment method, due date, grace period and late fee into the lease, within what your state allows.
- Invite each tenant to pay online and ask them to turn on autopay.
- Send reminders a few days before the due date and on the due date.
- Reconcile each month: see who paid, who is late, and record any cash or checks so the ledger stays complete.
Late fees and grace periods
Many states and some cities limit late fees or require a grace period before one can be charged. Put the exact terms in the lease, apply them the same way to every tenant, and let your rent tool charge them automatically so nobody is treated differently.
Keep good records
A clear payment history helps at tax time, protects you in any dispute and makes it easy to write a reference for a good tenant. Keep receipts for every payment, including partial ones.
